Barefoot Innovation Group is looking for a smart, organized, and proactive Executive Assistant to join our growing organization. The Executive Assistant will primarily assist the CEO and Chief of Staff and is a critical component to our team. This is an exciting role for someone who has impeccable attention to detail and is looking for a unique opportunity to work from home for a growing company in an exciting industry.
Executive Assistant
Key responsibilities include:
Maintain the CEO’s calendar and coordinate the complex travel agenda
Ensuring calendar is kept up-to-date in a fast-paced, ever-changing environment
Tracking multiple appointments and providing specific logistical details
Booking domestic and international travel while identifying best budget and efficiency options
Preparing detailed and organized agendas and documents to ensure seamless travel logistics
Interacting with senior executives in government and business and with media for scheduling
Managing work to assure that top priority matters receive high responsiveness
Proactively identifying opportunities for increased efficiency and productivity
Maintaining travel rewards accounts
Manage financial administrative tasks
Processing receipts and invoices
Preparing expense reports
Assist in preparation and distribution of project and presentation materials and research reports
Assist with meeting and event coordination
Maintain internal organizational documents
Maintain and update company website
Assist in ad hoc projects as needed
Requirements and Qualifications
4+ years of professional experience, preferably in technology or financial services field, supporting C-level or upper management personnel
Excellent interpersonal and communication skills
Exceptional attention to detail
Exhibit utmost professionalism and discretion while communicating with external and internal parties.
Ability to anticipate business needs proactively, including scheduling challenges and addressing them in the best way possible
Working knowledge of organizational and technical tools (Google Suite, Microsoft Suite, Adobe)
Experience with website design platforms and digital marketing tools is a plus.
Experience planning and executing small to large events is a plus.
Collaborative spirit and enthusiasm to jump in and get the job done.
Ability to work well under pressure in a fast-paced environment.
